Managed Hosting / Redmine AI in your daily work - 5 concrete use cases

What does AI in Redmine give you - concretely?

AI in Redmine sounds abstract at first. On this page you see five everyday situations and can judge for yourself whether the AI Plugin is relevant for you or your team. The scenarios give you a realistic idea of what your Redmine workday could look like with it.

Availability: The Redmine AI Plugin is not available as a standalone license. It is exclusively offered to hosting customers: as a monthly bookable AI Add-On on top of AlphaNodes Managed Redmine Hosting, as part of the Enterprise Support Package, or via Redmine AI Hosting.

1. Understand long issue threads

Issue summary in Redmine

Long issue threads understood in 30 seconds

You take over an issue with dozens of comments. Three colleagues worked on it. Nobody wants to read everything, and people without context (substitutes, management, new team members) often still don't get the gist.

With the AI Plugin: One click gives you the state in three points - what's the problem, what's been tried, what's still open. On request, the AI explains the same content for non-experts, without jargon.

The shipped prompt library includes templates for summary, classification, reply drafts, and more. A prompt is the ready-made instruction to the AI that runs with one click - your team needs no specialist knowledge to use it. You can add your own prompts for your workflows; writing them is doable with a bit of practice.

2. Status reports without spreadsheet wrangling

AI dashboard block for status reports in Redmine

Weekly status reports without spreadsheet wrangling

Every Monday the same routine: export issues, sort in Excel, sum up numbers, write up highlights and risks, copy into Word, send. One hour of work, every week - and the result varies depending on who writes it.

With the AI dashboard block: A condensed view from your current issue data. Progress, escalations, risks. Format consistent, updates automatic. No copy-paste, no Excel pivots.

3. Find knowledge buried in your Redmine

Semantic knowledge search in Redmine

We've had this support case before - but where?

The solution is buried in an issue from two years ago. Full-text search returns 47 results, only one of which is relevant. Four search terms later you ask colleagues, no one remembers. In the end you write a new answer, possibly inconsistent with the old one.

With the AI Assistant (chat): You ask in your project's chat window in natural language: How did we solve the login issue at customer A last year? The assistant searches issues and wiki pages in your project and answers with a reference to the sources - you jump directly to the original issues.

On every issue detail page: The plugin automatically shows Similar Issues and Related Wiki Pages - determined by semantic search. Unlike classic full-text search, it recognizes meaning rather than just word choice. So the plugin also finds issues that describe the problem in other words. Prerequisite is a PostgreSQL database, which is the standard for AlphaNodes hosting.

4. Redmine as a tool backbone

MCP interface for Redmine

Redmine as a data source for your own AI tools

Your scripts, automations, and AI agents need Redmine data. Until now, every application built its own connection, its own authentication, its own error handling - many tools, many maintenance points.

With the MCP server: MCP stands for Model Context Protocol - a standard with which AI applications like Claude Desktop or your own scripts uniformly access external data sources such as Redmine. One interface, many applications.

Authentication and permissions like in Redmine itself - the existing roles and permissions concept stays fully intact.

5. AI your data protection officer supports

GDPR-compliant AI usage in Redmine

Using AI that your data protection officer supports

Management sees the efficiency gains, the data protection officer sees US cloud, training usage, and third-country data transfer. Stalemate - the AI rollout drags on for weeks or months.

With AlphaNodes AI Hosting (Cloud or InHouse): Arguments your DPO can verify directly:

  • Data Processing Agreement under Art. 28 GDPR with AlphaNodes
  • Processing in Germany or your own infrastructure
  • No training use of your data
  • Complete logging of every AI interaction (user, model, prompt, timestamp)
  • Redmine permissions also apply to AI access, no bypass

With processing in Germany, the contractual situation and processing location are clearly documented, the third-country question doesn't arise.

What else is in the plugin

The five scenarios don’t cover the full feature set. You’ll find more on the Plugin overview, including wiki quality checks, automation actions, the Issue Assistant for structured issues from email text, in-editor text correction, and granular permission and cost controls.

FAQ
+
We're happy to put together a concrete offer for the monthly AI Add-On. In addition to the monthly fee, there is a one-time setup charge. Current prices and setup packages are listed on the Redmine Hosting page. If you also want a dedicated Ollama, see Redmine AI Hosting.
+
AI is a highly dynamic field: new model versions, changing API interfaces, emerging standards like MCP, security fixes, and adaptations to Redmine releases. An AI plugin that isn't kept up to date loses functionality within months or becomes a risk. The monthly fee covers exactly this ongoing investment: adaptation to new models and interfaces, compatibility with Redmine and all AlphaNodes plugins, and a fast response to security and API changes.
+
With the AI Add-On you bring your own AI provider (e.g., OpenAI, Anthropic Claude, Azure OpenAI, Google Gemini, or an Ollama server). You manage the API key or account yourself, and usage is billed directly by the provider. If you don't want to set up your own provider, AlphaNodes AI Hosting is the right option: we operate Ollama on a dedicated server for you.
+
Supported providers are OpenAI, Anthropic Claude, Azure OpenAI, Google Gemini, Grok/xAI, Ollama (local or via AlphaNodes AI Hosting), and OpenAI-compatible APIs such as LM Studio or vLLM. Details and recommendations per use case are on the Plugin overview page and in our AI decision tool.
+
This question mainly applies to paid API providers (OpenAI, Anthropic Claude, Azure OpenAI, Google Gemini). With your own Ollama setup, there are no token-based costs since the AI runs on your or our hardware. For paid providers, AI services bill usage in tokens - the common billing unit that corresponds to small word fragments. The plugin allows token limits per model (daily or monthly). When a limit is reached, a configured fallback model takes over automatically, or the action stops cleanly without errors. Permissions control who is allowed to run which prompts, and model tags let you assign prompts to cheaper or more expensive models on purpose.
+
We handle the setup. We install the plugin in your Redmine instance and add the pre-defined prompts so your team can get started right away. Further individual configuration is something you take care of yourself - with our support on request, either as part of regular support or via your agreed support quota (Enterprise Support Package with 5, 10, or 20 hours).
+
The AI Add-On is an option on top of your hosting contract. Termination is possible after the minimum contract term has expired. When it ends, AI features are disabled, but content you already created (prompts, chat conversations) remains part of your Redmine database. Contract details are discussed directly with our team.

Recognize yourself in any of the scenarios?

Then the AI Plugin is probably relevant for your team. Which option fits - the AI Add-On with the provider of your choice, or dedicated AI Hosting at AlphaNodes - is what our decision tool helps you figure out.

Note on the data protection scenario

Scenario 5 (DPO-ready) applies to the hosting packages AlphaNodes AI Hosting Cloud and AI Hosting InHouse. With the AI Add-On, the data flow depends on the configured AI provider. AlphaNodes does not provide data protection or legal advice; the assessment remains with your data protection officer.
